BLAST Fit is a boxing and fitness club at Pitshanger FC, Clubhouse 2, Argyle Road, Ealing, London W13 0AY. This notice explains what we do with the details you give us when you enquire through our website, Instagram, Facebook, WhatsApp or email. What we collect
- Your name and the contact details you give us: email, phone number, or your Instagram, Facebook or WhatsApp account.
- What you tell us in your messages, such as the training you're interested in, your goals, your experience and the times that suit you.
- A record of our replies, and whether you have booked a session.
Automated replies
When you get in touch, our BLAST Fit assistant, an AI system, usually writes the first reply within a minute and may send up to three short follow-ups to help you book a free trial. It only answers from information Matt has approved. Ask it and it will always tell you it's the assistant.
- Anything personal or sensitive is passed straight to Matt, and the assistant stops replying to you. That includes injuries, health conditions, pregnancy or medication, complaints, anyone under 18, and any request to speak to a person.
- The assistant never makes decisions about you that have legal or similarly significant effects. It answers questions and shares our booking link. Matt can read every conversation and take over at any time.
- Your message is sent to our AI provider (Anthropic's Claude models, accessed through our hosting provider Netlify) only so it can write the reply.
- Follow-ups are only sent between 08:00 and 20:00 UK time, and stop as soon as you book, say you're not interested, or reply STOP.
Why we use your details
- To answer your enquiry and help you book, because you asked us to (our legitimate interest in replying to people who contact us).
- To send occasional offers by email, only if you ticked the box to say yes. You can unsubscribe from any email at any time.
We don't sell your details, and we don't share them with anyone for their own marketing.
Who handles it for us
We use a small number of providers to run this: Netlify (website hosting and our database), our email delivery provider, Meta (for Instagram, Facebook Messenger and WhatsApp conversations), Anthropic (to write the assistant's replies) and Gymcatch (bookings). They process data on our behalf and only for these purposes. Some of them are based outside the UK, in which case transfers are covered by the safeguards UK data protection law requires.
Children
Junior places for under-18s are arranged with a parent or guardian. If someone under 18 contacts us about training themselves, the assistant stops and Matt follows up so a parent or guardian can be involved.
How long we keep it
- If you don't go ahead, or ask us to stop, your conversation is automatically deleted 12 months later.
- If you become a member, we keep your details while you train with us.
Your choices and rights
Reply STOP on any channel, or use the unsubscribe link in any email, and we'll stop messaging you straight away. You can also ask us to see the information we hold about you, correct it, delete it, or stop using it. Email blastfitt@gmail.com and we'll reply within one month.
If you're unhappy with how we've handled your data, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk.
